Invite teammates with a link

Share an invite link by WhatsApp, email or QR code. Your teammate signs up with it and joins your workspace straight away, with the role you picked. They choose their own username and password, so you never handle it.

Before you start

Steps

  1. Click your initials in the bottom-left corner, then click Settings.
  2. Click your name at the top of the Settings list.
  3. Under Team & access, click App User. The App User Management list opens.
  4. Click the add-person icon (Invite teammate) at the top of the list. The Invite teammate window opens.
  5. Under JOINS AS, click Executive or Manager. The link updates for that role.
  6. Under SHARE VIA, click how to send it:
    • WhatsApp opens WhatsApp with the invite message filled in.
    • Email opens your email app with the subject and message filled in.
    • Copy copies the link. The message Invite link copied to clipboard. appears.
    • More opens your device's share menu.
  7. To invite someone next to you, let them scan the QR code (Scan to join as ).

The link expires in 7 days. Each role keeps its own link, so reopening the window shows the same link until it expires.

An invite link can only add a Manager or an Executive. To add another Super Admin, use Add instead. See Manage team members, roles and permissions.

What your teammate does

  1. They open the link. The page shows You're joining team.
  2. They fill in their name, username, password, email and mobile number, then click Join team. They can also click Continue with Google.
  3. They land in your workspace. The message Account created — welcome to Ohanvi! appears. With Google, it reads Welcome to team!

Their password must meet the same rules as yours. See Update your profile and password.

Invite someone to 1 module only

Some module team screens, such as the WhatsApp team screen, have their own invite action. That window is titled Invite to . Whoever joins with that link sees only that module.

Troubleshooting

Issue Cause Fix
Invite teammate is missing You are not a Super Admin, or every seat on your plan is used. Ask the workspace owner, or add seats in the Billing section.
Your teammate sees This invite link is invalid or has expired. The link is older than 7 days, or was mistyped. Open Invite teammate again and send the new link.
Your teammate sees This team is full. Every seat on your plan is used. Add seats or remove someone, then send the link again.
This account has reached its … -user limit for your plan. Add seats to invite more teammates. The seat limit was reached while they signed up. Add seats, then ask them to try again.
Failed to generate invite link. The link could not be created. Click Retry in the window. If it fails again, contact support.
Could not open WhatsApp. The link has been copied instead. WhatsApp or your email app is not available on this device. Paste the copied link into any chat or email.
